Perceptive Content: Configuring Document Retention with Automated Disposition

Overview

OIT has established an opt-in framework for the automated disposal of Perceptive Content documents. This is an automated process that will automatically delete documents every night matching specified criteria. The retention criteria for a given document will be determined and enforced by the data owner in accordance with the Record Management Policy.

 

Onboarding

To begin using document retention policies, interested data owners must submit a Perceptive Content System ticket requesting to use the AutoPurge functionality. For this, we'll need a few pieces of information:

  1. Approval from the data owner
  2. The names of any document types that will be configured
  3. Documentation about how the retention policy will be set

 

During onboarding, OIT will add two custom properties to each of the document types specified:

  • AutoPurge-Enabled
  • AutoPurge-Removal Date

 

Configuring

The automated disposition process will remove documents where AutoPurge-Enabled is TRUE and the AutoPurge-Removal Date is the current date or earlier. It will delete these documents after 8 PM daily. If either of the values is not populated or within the criteria, the document will not be deleted.

OIT will further work with users to provide solutions for setting removal dates automatically where appropriate. This may include a workflow queue, an application plan, or a scan profile.

 

Recovery

Please note that any documents deleted with the AutoPurge tool are unrecoverable. These documents do not go to the Perceptive Content Recycle Bin, and the underlying data is irrevocably lost forever.

 

Custom Solutions

If the criteria for retention policies are non-standard or otherwise unable to be accommodated with the basic tools, OIT will open projects to design and implement custom logic for setting retention policies as appropriate.
