In Perceptive Content Explorer, you can perform searches for documents, projects, tasks, and workflow items using a simple search interface or a complex, multiple-condition interface called Views. In Perceptive Content, a view contains just the documents and projects you need to work with. Because a view is a subset of all Perceptive Content items that are tailored for you, the view can hide dozens, hundreds, or even thousands of documents that might otherwise clutter your Perceptive Content Explorer window.
Quick Search
A Quick Search applies a single condition to the items in the current view and returns the results that satisfy that condition. You can define the condition on the Quick Search tab of Perceptive Content Explorer, which includes the property list, operator list, and value box.
To perform a Quick Search, go into Documents (from the Toolbar) and perform the following steps:
- Select the appropriate Document View on the left side
- Select the appropriate Property
- Select the Operator
- Enter the value you are searching for
- Click Go
There are no longer any wildcard searches (as of 12/10/2020).
Use the Contains Operator with no need for any special character (%).
- Example:
- Smith will find Smith, Desmithson, Smithers, etc.
Searching with View Filters
Some Document Views will have Filters. A Filter takes a predetermined set of variables and applies it to the document view. For example, if you search for SAP Document Numbers often, a filter may be set up for quick viewing. A Filter may be configured to bring up a specific set of documents, or it may ask you to input search conditions.
To use a Filter:
- Choose a Document View and expand it by selecting the [ + ] sign
- Select the View filter
- Enter the requested search conditions if necessary. Remember, the % is NO LONGER NEEDED as a wild card indicator
Searching with Multi-Find Filters
Some views will prompt you to enter a number of search parameters. These operate in the same way as regular views while giving you the option of finding a wider variety of documents.
To use a Filter:
- Choose a Document View and expand it by selecting the [ + ] sign
- Select the View filter
- Enter the requested search conditions in all the fields. The search Condition of these fields have changed with the UpGrade to EP2
- Wildcards no longer work, these fields are set to Contains
Detailed Search Filter
It is possible to use a detailed search to find documents meeting specific requirements. To do so you must build the search query yourself.
To build a Detailed Search Query:
- Choose a Document View
- Select Search
- Click the green plus [ + ] symbol
- The Add Condition screen will allow you to set search options. Once you have selected your options and click OK. You may add as many Conditions as you like to the search query
- Once your search conditions are set, click OK to perform the search
Saving a Private Filter
If you have a filter you use often, you can save it as a Private Filter for later use.
- Prepare a search as described above
- Click the Save Filter button
- Enter a name and description of your profile and click OK
Your saved Filter will now appear under the View List on the left side of the Perceptive Content window for later use.
